5 essential tips to optimize Windows 11 for office work

Windows 11 offers a range of features designed to enhance productivity, but you must customize it to unlock its full potential, especially if you’re using an older PC. Here are some essential tips to streamline your workflow, improve performance, and maintain focus during office tasks.

The first thing you need to do is separate your work environment; virtual desktops are a great way to do that. Press the Win + Tab shortcut or click the Task View icon from the taskbar to create a dedicated space for your office work.

Next, you can rename the desktop, then drag and drop all the office apps you’re using into this new space. Even if you close them, when you open them again, they will appear on your office desktop. Of course, you can also personalize it with a different background, to easily recognize it.

It only takes a few minutes to prepare your office work desktop, and then when you switch to it, you will be ready to go without other distractions.

There are many time management tools out there, but you don’t need to look too far, because you’ve got a pretty good one in Windows 11. It’s called Focus, and you can enable it from Settings -> System -> Focus.

Just like any other such app, Focus allows you to set timers for work and breaks. You can set up the session clock to the exact period you need, and you have the option to show the timer on your screen. Also, during work, you can enable the Do not disturb mode to disable notifications, hide the badges of the taskbar apps, and turn off any app flashing.

After the work period runs out, you get a notification to take a break and get your eyes off the screen. You can even use a dedicated Spotify playlist during work to stimulate your concentration and productivity.

If you’re doing office work on your laptop, the first thing you can do to improve its performance is to select the right power option. Working on a high-performance power plan will ensure that the system won’t spare any power for your programs or essential components.


Another important thing you can do to boost your device performance is to disable some of the startup apps that are probably running in the background consuming resources. Access Task Manager and go to the Startup tab. Now, you can see which apps are enabled to run at startup, and you can easily disable the ones you don’t use for your office work.

While you’re in Task Manager, you might as well kill some of the processes you’re not using. Keep in mind that some apps will not close completely when you close their window. Check the action bar from the bottom right and close the apps completely.

Now that everything is on your taskbar, you can use the Snap Layouts feature to optimize your desktop space. You can drag the windows to the sides of the screen and select their final position. You can choose between a two-column or a grid placement.

You can right-click the maximize button on any window to change its placement or to group it. The advantage of grouping is that the apps will open up together next time, just like you’ve set them. I recommend doing that on a big monitor (20-inch or larger), where you have sufficient space to use the Snap Layouts feature efficiently.

Another extremely handy tool is FancyZones. The tool is part of Microsoft's PowerTools and offers even better customization of your screen. For instance, it allows you to easily split the display into three rows or columns and allows external display space as well.

  • Windows key + V— This shortcut is probably the best for productivity because it opens your clipboard history. You will see a list of the last items you've copied, such as text, links, and images, and you can paste them with a single click.
